Budget planner

Do you know what your wedding costs right now?

Not what it should cost — what it costs today, with the guests who said yes. The budget planner works from your real numbers and speaks up before one of them becomes a surprise.

Planned so far

€32,031

Target: €32,000

Paid

€29,723

Outstanding

€2,308

Per guest€628

Calculated from 51 confirmations in your guest list.

Most couples only learn what their wedding cost once it is over.

Not out of carelessness: a spreadsheet does not recalculate when twelve guests cancel, the photographer stays two hours longer and the venue starts billing by the hour after midnight. That is exactly where four-figure surprises come from — quietly.

A quantity is a formula, not a number

You do not type “51 covers”. You type “one cover per confirmed guest” — and the number is read from your other tools every time the budget opens.

Food
per confirmed guest

Read from the guest list. Children count separately, so a children's menu is never paid for twice.

€74 × 51

€3,774

Table decoration
per table

Read from the seating plan. Drop a table and its flowers leave the budget with it.

€85 × 7

€595

Photographer
per hour from the run sheet

From the ceremony to the first dance — started hours round up, the way they are billed.

€190 × 8

€1,520

If five guests cancel, food, drinks, favors and service staff correct themselves. Nothing to maintain by hand — which is why the total is still right two weeks before the day.

What makes this more than a spreadsheet

Three things home-made spreadsheets reliably get wrong — built in from the start here.

Quotes side by side, not across three inboxes

Several quotes per item, one of them selected. If a quote says “valid for 55 people”, the budget warns you the moment your guest list grows past it — the most expensive mistake in any catering contract.

Genusswerk Catering€3,740

€74 per cover, valid for 55 people

Selected
Wirtshaus Almblick€3,162

€62 per cover, no fish course

From 56 confirmations the selected quote no longer covers your guest count.

Deposit, instalment, final payment — with dates

Every item knows its payments. What is still outstanding is derived, so it stays correct even when the quantity changes later.

  1. Deposit€1,000

    Paid 28 Sep

  2. Second instalment€2,400

    Paid 18 Feb

  3. Final payment€2,308

    Due 10 Mar

The remainder is never stored, always derived: item total minus payments made.

Who pays for what

Create pots — the two of you, the parents, a contribution. Every item belongs to one, and the overview breaks the total down pot by pot.

The two of us€18,000
Bride's parents€8,000
Groom's parents€6,000

Names are yours to choose — at a company party the pot is simply called “marketing budget”.

Your first budget is six questions away

No blank page. Answer a few questions about your celebration and the planner assembles a complete cost list from them.

1

Six questions

Registry office, church or a free ceremony? Photographer, videographer, band or DJ? Children coming? The answers decide the list — what you do not need never shows up.

2

80+ items with reference prices

Every item carries a range rather than a single figure. You can see at a glance whether your quote sits at the low or the high end.

3

Deadlines that follow your date

Each item knows how far in advance it is usually booked. Move the wedding and the deadlines move with it.

Reference prices are dated market observation — never a quote. The moment you have a real number, yours wins.

What does not happen still costs money

A cancelled item does not simply disappear: the cancellation fee stays. And the hour past the agreed end time is in no contract anyone reads beforehand — but it is in the budget.

Fireworks — cancelled€240

Permit conditions could not be met. The 20 % cancellation fee stays in the budget instead of quietly vanishing.

Venue — overtime€180

One hour past the agreed end time, taken straight from your run sheet.

Frequently asked questions

Can our guests see what the wedding costs?
No. The budget is the one area that does not exist on the guest side at all — no prices, no vendors, no payments ever leave your admin area. If you want to give your parents a look, you create a read-only link, and vendor terms and names can be hidden from it.
What happens when guests cancel?
Everything calculated per guest corrects itself the next time you open the budget: food, drinks, favors, late-night snack, service staff. Payments you have already made stay exactly as they are — that money really did leave your account.
Where do the reference prices come from?
From market observation for Austria, Germany and Switzerland, stored as a range from modest to high end and stamped with a date. They are planning guidance, not a quote. The moment a vendor gives you a real number, you enter it and it wins.
Can we add our own items?
As many as you like, with your own categories if you want. Items you do not need are hidden rather than deleted: they stop counting towards the total but stay findable in case the topic comes back.
Does it work before we have a guest list?
Yes. While the guest list is still empty the planner works from the head count you expect. As soon as real confirmations exist they win — a guess is never defended against a fact.
Net or gross?
Whichever you prefer, and even mixed: a catering quote arrives net, a hardware-store receipt gross. Each item decides for itself, and switching the default deliberately does not convert existing amounts, because that would falsify your data.
Can we export the budget?
Yes — as a read-only link to share and as a printout for the folder. The link can be revoked and reissued at any time if it ends up in the wrong hands.
Is this only for weddings?
No. There are separate cost lists for birthdays, company parties and conferences — including income such as ticket sales, contributions or sponsorship, so the break-even point can be worked out too.

The number that keeps you up at night is ten minutes away.

Six questions, a complete budget, and from then on it keeps up — with every confirmation, every cancellation and every hour that runs long.
