Frequently asked questions

1Do we have to use all the tools?
No. Each of the eleven event tools can be switched on and off individually, and each works on its own. Many couples start with just the guest list and RSVP and only turn on the seating plan once the replies are in. Whatever you don't switch on, your guests never see.
2Where do we start?
With the date and the guest list. A save-the-date needs nothing but names, a date and a design; the guest list can be imported from a spreadsheet you already have. Everything else builds on that: RSVP hangs off the list, the seating plan off the acceptances, the budget off the head count.
3What does planning cost — and where does free end?
Planning costs nothing. All eleven tools are unlocked in the free plan too: add and import guests, place tables, draw the seating plan and auto-seat it, build the RSVP form, evaluate replies, design the full invitation and view it in preview. What you pay for is delivery. From guest 21 on, the free plan ends exactly five actions: the guest seat search, the seating export including place cards and table numbers, the personal RSVP links, the public full version of the invitation and the guest list export. Plus delivers for up to 75 guests at 39 €, Premium for up to 250 at 69 €, Deluxe with no guest limit at 119 €. Not to be confused with the gallery features: the live photo wall starts at Plus, and photo challenges, points and the leaderboard only at Premium — they are not part of the eleven planning tools.
4Our wedding is a year away. Does anything expire?
No, as long as no photo sits in the gallery. The free plan's 91-day storage period only starts with the first uploaded gallery photo, not with sign-up. So you can plan months ahead without any clock running — uploads in the Design Studio don't count towards it.
5Does Photogala send our invitation and chase replies?
No, on no plan. Everything that goes out goes through you: Photogala builds the link, the QR code and, if you want, personal RSVP links as a list — none of it is sent, not by email, not by SMS or WhatsApp, and not as a reminder to guests who are still outstanding. We also can't tell you who opened the invitation: there is only a page-view counter, with no attribution to individual guests. So put distribution into your roadmap as a task of its own — it lands in exactly the weeks after the save-the-date.
6How many guests, tables and program items can we create?
The ceilings are identical in every plan: 1,000 guests, 100 tables, 10 seating plans, 100 seats per table, 20 schedules holding 200 blocks in total, 300 dishes and 500 budget items. The plan doesn't decide how much you may build — it decides from when you can deliver it to your guests.
7Can we bring our spreadsheet in — and get it back out?
Going in: CSV, TSV, TXT and Excel (.xlsx, .xlsm, .xls). Columns are matched fuzzily and across languages, separate first and last names are merged, unknown columns are ignored, and you see a review step before anything is imported. Going out: the list as Excel, CSV or PDF with columns you choose. That export is one of the five delivery actions, though — from guest 21 on it needs a paid plan.
8What can't Photogala do?
Eight things people ask about often. It sends nothing to your guests. There is no task or checklist feature for you as a couple. The running order can only be printed through the browser — no PDF, no calendar entry. A custom domain is in none of the customer plans; your page runs under the Photogala address with your event name. Two of you can't edit the seating plan at the same time. The budget has no bank connection and no receipt upload; payments are typed in. The dietary notes in the menu are free text fields, not legally compliant allergen labelling. And printing and posting don't happen here: you get the print file and take it to your own print shop.
