Plans & upgrades

In the plans area you see your current plan with all limits and features, switch to a larger plan (upgrade), extend your gallery’s storage period, book individual add-ons and manage an active subscription. This page explains every section, dialog and field – step by step.

What you see in the plans area depends on your role and the type of event:

  • Owner (event owner): full view. Only the owner can buy, upgrade, extend, book add-ons and cancel subscriptions.
  • Admin/moderator (not owner): read-only view. The title changes to “Current Plan Overview”, and a note at the bottom reads “Only event owners can purchase upgrades and addons. Contact the event owner to request changes.” Upgrade cards, extend options and add-ons are hidden – you only see the current-plan card.
  • Brand/white-label event: if your event runs under a custom brand/partner, the page only shows “Plan Managed by [Brand]” with the text “Your plan is managed by [Brand]. Please contact your provider for plan changes.” No purchase is possible here – contact your provider.
  1. Open your event’s admin area. If you’re in the gallery, get there via the profile menu at the top right (Management → Admin Portal).

  2. In the admin sidebar at the bottom, open the Upgrade Package box. On the highest plan it reads Manage Package; while a discount is running the button reads Claim discount with a countdown (“expires in …”).

  3. Alternatively you land here automatically as soon as you tap a locked premium feature in the gallery or settings: the lock notice links into the plans area, highlights the cheapest matching plan in orange and scrolls straight to it.

Other entry points: photo or upload limit banners in the gallery, upgrade prompts on the dashboard and storage-period banners in the event statistics.

This card is visible to all roles and shows your event’s current state.

The current-plan card summarises plan, status, limits and active features.
  • Title “Current Plan” plus the tier name.
  • Status badge: “Active” (green), “Expiring Soon” (orange, less than 7 days), “Expired” (red) or “Pending” (blue, event hasn’t started yet). A red “Refunded” badge and a subscription badge (“Monthly”/“Yearly”) may also appear.
  • Refund banner: if refunded, it reads “This event has been refunded. The event will be deleted after the retention period.”
  • Subscription section (only with an active subscription): shows “Billing cycle” (Monthly/Yearly) and “Next payment” with a date. If cancelled, it reads “Subscription canceled — active until [date]”.
  • Event status info: when “Pending”, you see when the storage period starts (free galleries from creation, paid plans from the 10th photo). For an active/expired event it shows “Expires on”/“Expired on” with a date plus the note that after it ends you keep 30 days to download everything as a ZIP before it’s deleted.
  • Current Limits (grid): Uploaders, Photos, Videos, Tasks, Achievements – each as a number or “Unlimited”.
  • Available Features: an expandable row “[count] features active”; expanded, “Active Features” lists every active feature with a description. For custom setups “Plan includes custom configurations” appears.
  • Footnotes: the definition of “Uploader” (any guest who uploads at least 1 photo/video; unlimited guests can view) and the fair-use storage note with a contact link for higher limits.
  1. Open the current-plan card and find the Subscription section (only visible with an active subscription).

  2. Click Cancel subscription.

  3. Confirm in the notice (“Are you sure? Your event will remain active until the end of the current billing period. After that, it will not renew.”) with Yes, cancel. Use Cancel to abort.

For owners, an info box Upgrade Recommendations (“Based on your current plan …”) appears at the top, followed by the Available Upgrades grid. Only genuine upgrades (more limits/features) are shown, sorted by recommendation. For expired or ended events the upgrade cards are hidden – use Extend Current Tier instead (see below).

  • Badge “MOST POPULAR” (or a custom badge text) on the recommended plan.
  • Name + short description of the tier.
  • Price: either “Free”, or a price with the suffix “/event” (one-off) or “/month” (subscription). When an upgrade price applies you see the struck-through full price and the reduced difference price. Automatic discounts appear as a pill “auto-applied at checkout”. The footnote “Sales tax calculated at checkout.” means sales tax is calculated at checkout.
  • Limit grid (with tooltips): Uploaders, Photos, Videos, Tasks, Achievements, Storage (GB) and storage duration (with an asterisk). The footnote explains: storage duration is how long your gallery stays online; it starts with the 10th uploaded photo (free galleries from creation), not at purchase. On an upgrade only the additional duration is charged.
  • Key features list with icons and badges “AI” (AI feature) and “NEW” (new compared to your current plan). “+[count] more features” opens the details dialog.
  • Add-on auto-disable (when applicable): if the new plan includes a feature you already have as an add-on, “Addons Auto-Disable” appears. The feature add-on is then disabled automatically – you save its cost and lower future extension prices.
  • Upgrade summary “What’s included in this upgrade”: number of new features, number of limit increases and “Pay only the difference: [price]”.
  • Storage-duration outcome as a real date, e.g. “Storage duration: +[days] days → until [date]”, “Stored permanently”, “Storage duration remains unchanged” or (for an expired event) “Since your gallery has already expired, the storage period restarts from today.”
  1. Compare the cards under Available Upgrades. Use View Details to see a plan’s full feature and limit list before buying.

  2. Click UPGRADE NOW on the card you want. The button briefly shows “Processing…”.

  3. The secure Paddle payment window (pop-up) opens. Enter your payment details and complete the payment. The final price including any sales tax is calculated here.

  4. After successful payment the plan is unlocked instantly – there’s no separate “save” button. If you close the pop-up, nothing happens.

Section titled “Extend your gallery (Enhanced Tier Management)”

For owners on a paid plan there’s an expandable box Enhanced Tier Management (“Extend your tier and upgrade with discounts”). It opens automatically when your event is expiring soon, has expired or has ended. Note: “Purchase confirmations are emailed to the purchaser and event owners.”

  • Recovery banner (when expired/ended): “Your storage period has ended” with a note that as the organizer you still have access and can download all photos as a ZIP now. After the 30-day window the gallery is permanently deleted. It may read “[percent]% extension discount available!”.
  • Extend Current Tier: extends your event’s storage period at an (often discounted) price and reopens the gallery for your guests. You see the extension length (“Extension length: +[duration]”) and the real result date (“Storage duration afterwards: until [date]”).
  • Price breakdown: “Base Cost”, “Upgrade Surcharge” and “Total Cost”. The info button opens the “Surcharge Breakdown”: each active add-on raises the extension price by 10 %, each earlier tier upgrade by 25 %.
  1. Open the Enhanced Tier Management box (on expiry it’s already open).

  2. Under Extend Current Tier, review the duration, the result date and the price breakdown. The info button shows why a surcharge applies.

  3. Click Extend for [price] (+[duration]) or Continue to checkout and complete the payment in the Paddle pop-up. The gallery becomes active again instantly.

If you’re on the Free plan, instead of the extend option you see “You’re on the Free Plan” – free plans can’t be extended, only an upgrade helps here.

For owners (not on expired/ended events) the Available Addons section offers individually bookable extensions: more storage, more uploaders, a longer availability of your gallery or a single extra feature.

  • Per add-on card: name, description and a price pill (“Free”, a price or “See checkout”). Below it shows what the add-on delivers (e.g. “+[n] [capacity]”, feature rows or “+[n] days validity”). Some add-ons show “Max [count] per event”.
  • Button: Purchase Addon (or Add for Free for free add-ons) → payment in the Paddle pop-up.

If no upgrades remain, instead of the upgrade cards you see You’re All Set! – you’re on the highest plan with all premium features.

Via View Details (or “+[count] more features”) on an upgrade card, a dialog opens showing a plan’s full scope before you buy:

  • Tier overview with price and description.
  • Addon Management: if a feature add-on becomes redundant with the plan, “Addons to be Auto-Disabled” lists it with the purchase date, the included features and the monthly saving. Capacity add-ons stay active.
  • What’s New in This Upgrade: new features by category (badge “NEW”) and higher limits with their new value.
  • Limits & Capacities: Guests (Unlimited), max. uploaders, photos, videos, tasks and achievements – each as a number or “Unlimited”.

A coloured banner may appear at the top of the page:

  • Soft-deleted, not yet expired: an amber banner “This event is deleted and not visible to guests or participants. You can restore it for free!” plus a countdown “Permanent deletion in [days] days”. Use Restore Event (Free) to restore the event for free while the deadline lasts.
  • Soft-deleted + expired: a red banner – here only Extend your plan brings the event back.
  • Expired only: a red banner “Your event has expired. Extend your plan below …” – use Extend Current Tier to reactivate the gallery.
  • Being permanently deleted: a red banner “This event is being permanently deleted. Restoration is not possible.” – restoration is no longer possible then.

  • No save button: all purchases run through the Paddle pop-up. After successful payment the plan is unlocked instantly. If you cancel, nothing happens.
  • Confirmation emails go to the purchaser and all event owners.
  • Storage-duration clock: starts with the 10th photo (paid plans) or at creation (free). An upgrade adds only the difference; an extension stacks onto the running clock, and for an expired event it restarts from today.
  • I don’t see any upgrade cards. You’re either not the owner (only owners can buy), it’s a brand/partner event, you’re already on the highest plan (“You’re All Set!”), or your event has expired (use extend then).
  • The pop-up won’t open / payment fails. Disable your browser’s pop-up blocker and try again.
  • The extension costs more than expected. Earlier upgrades (+25 %) and active add-ons (+10 %) create a surcharge. The “Surcharge Breakdown” (info button) shows the makeup.
  • My gallery has expired – are the photos still there? Yes. After expiry you have 30 days to save everything as a ZIP; after that it’s permanently deleted. An extension reactivates the gallery.
  • I deleted my event by accident. While the deadline lasts, use Restore Event (Free) at the top.
  • My subscription keeps being charged. Cancel via Cancel subscription in the current-plan card; the event stays active until the end of the period.
  • Start small, upgrade later: if unsure, start with a smaller plan. On an upgrade the event and all photos are kept, and you only pay the difference.
  • Rather pick the right plan now: many individual upgrades and add-ons raise the later extension price (surcharge). A well-chosen plan saves real money.
  • Extend in time: extend before expiry so you don’t risk the 30-day window.
  • Use View Details: check features and limits before buying in the details dialog.
  • Use discounts: shown discounts are applied automatically at checkout – you don’t need a code.
